Installation Instructions - Microsoft Outlook


  1. You will receive an email from E-Stationery Depot with your E-Stationery file attached. Right click on the attachment name and select Save As. Save the file to your Desktop or another location on your hard drive.

    We will show you how to set-up your E-Stationery as a Signature. This will provide you with the most flexibility in using your primary E-Stationery, switching between E-Stationery templates if you have more than one, or choosing to write a text only message.

  2. From the main Outlook window, on the Tools menu, click Options, and then click the Mail Format tab.



    1. In the Compose in this message format list, click HTML.
    2. Un-check the option to Use Microsoft Office Word 2003 to edit e-mail messages.
    3. Under Stationery and Fonts, select<none> in the Use this Stationery by default box.
    4. Under Signatures, click the Signatures... button.


  3. Click on New...




  4. Type in a name for your new signature.



    Choose the button titled Use this file as a template: then click on Browse...


  5. Find the E-Stationery file you saved onto your computer in step 1 and Select it.



    The file name will appear in the Use this file as a template box.

    Click Next >


  6. Your E-Stationery will appear in the upper window. Click Finish.




  7. Your new E-Stationery is now in your Signature list. Click on the Signature name to preview it in the lower window. Then click OK.




  8. Make sure your email account is selected under Signatures. If you wish to have your E-Stationery automatically present every time you open a new email message then select it as the default for Signatures for new messages, however if you do not want it to automatically be inserted select <none> in the drop down menu.

    NOTE:  if you selected <none> then to insert your E-Stationery in an email, open the email and select Insert, Signature from your e-mail's menu.

    In the Signature for replies and forwards box you may choose your E-Stationery for replies and forwards or if you have an E-Business Card this is where you would make it the default.



    Click on the Fonts... button.


  9. Select your default fonts by clicking on Choose Font... in both the When composing a new message and When replying and forwarding boxes. 

    E-Stationery Depot recommends either 10 pt. Verdana or 10 pt. Arial for your default fonts.



    Select the last button - Always use my fonts. Click OK.


  10. In the Options Window under the Message format area at the top, click on the box titled either Internet Format... or Settings... depending on your version of Outlook.

    In the Internet Format or Settings Window, make sure all boxes DO NOT have check marks in them and then click OK.


  11. In the Options Window click on Apply and then on OK.

     
  12. Now you need to make sure your images are being pulled from the internet and not being attached to your email.  This can be fine tuned by following these steps...
     
    1. Click on Tools in the Main Menu of Outlook
    2. Choose Options from the drop down menu
    3. Select the Mail Format tab in the Options pop-up window
    4. Under the Message Format section click on the Internet Format button
    5. Under HTML Options, make sure there is NO check mark in the box that says... When an HTML message contains pictures that are on the Internet, send a copy of the pictures instead of a reference to their location
    6. If you are using Outlook Express you will have to correct this problem by following these instructions: Click on Tools in the Main Menu of Outlook Express Choose Options from the drop down menu Select the Send tab in the Options pop-up window Under the Mail Sending Format section click on the HTML radial button Under the Mail Sending Format section now click on the HTML Settings... button Make sure there is NO check mark in the box that says... Send pictures with messages Click OK Click OK


  13. Now your E-Stationery is installed and ready to use! Simply compose a new message or reply to an existing message and you will see your E-Stationery automatically appear for you to type your message into the body of the email.


  14. SPECIAL NOTES

    1. The graphics on your E-Stationery may at times look like they do not fit in boxes correctly or there is added space in different parts of the template. This is an Outlook issue and it DOES correct itself when emailed. Test your E-Stationery and mail a message to yourself to make sure it works properly. If you have any trouble please contact us for technical support.
    2. If you do not want to use your E-Stationery for a particular message simply click your mouse to the right of the E-Stationery and then press backspace once or twice and the E-Stationery should disappear for that email.
    3. Sometimes when you reply or forward a message your E-Stationery may not appear. If this happens it is likely that the original email was in plain text mode. Just click on Format from the top menu and click on Plain Text, then click Format again and select HTML. Then from the top menu choose Insert, then Signature and choose your E-Stationery template.
    4. E-Stationery will view perfectly in mail services such as Yahoo and Hotmail, however, since those services do not support E-Stationery it is likely that when they forward or reply to your email it could distort the graphics.
    5. If you have multiple E-Stationery templates and wish to switch to a different one, just erase the one in your window (see 13.b above), then from the top menu choose Insert, then Signature and choose your new E-Stationery template.
